Privacy policy

What this covers

This policy explains how Loom & Layer collects, uses, and stores personal information when you contact us through this site. Loom & Layer is a Prostar Group brand operating in British Columbia. We follow the BC Personal Information Protection Act (PIPA) and Canada's Anti-Spam Legislation (CASL).

What we collect

The only personal information we collect through this website is what you send us through the contact form:

  • Your name
  • Your email address
  • The message you send describing the project

We do not collect a phone number through the form. We do not use cookies that identify you. The site uses Cloudflare's server-side analytics, which counts page visits without identifying individual visitors and without setting tracking cookies in your browser.

Why we collect it

We use the information you send to:

  • Respond to your inquiry
  • Prepare a quote or scope for the project you described
  • Schedule a consultation if you ask for one

We do not sell your information. We do not share it with marketers. We do not use it for any purpose other than the conversation you started.

Consent

By submitting the contact form, you consent to us using the information you provided to respond to your inquiry. Under PIPA this is implied consent for the purpose stated.

If we want to send you anything beyond a direct response — a newsletter, a campaign, an unsolicited follow-up months later — we will ask for explicit consent first, as required by Canada's Anti-Spam Legislation. You can withdraw that consent at any time by replying to any message we send or writing to [email protected].

How long we keep it

We keep contact-form submissions and our follow-up email correspondence for 24 months from the last contact, unless you ask us to delete them sooner. After 24 months of no contact, the records are deleted from our active systems.

If your inquiry becomes a project, we keep project records — quotes, contracts, invoices, install notes, and warranty documentation — for as long as required by tax and warranty law, typically seven years.

Where it's stored, who can see it

The contact form on this site uses a mailto: link. When you submit, your default email client opens with a prepared message, and you send it to us directly. The form itself does not pass your information through any third-party service.

When we activate a hosted form provider (planned: SendGrid for email delivery), we will update this policy to disclose the third party and the data they handle.

Inside Loom & Layer, only the people working on your inquiry have access to the records.

Your rights under PIPA

You can:

  • Access the personal information we hold about you. Email [email protected] and we will respond within 30 days as required by PIPA.
  • Correct any information that's inaccurate.
  • Withdraw consent for any future processing, subject to existing contractual obligations.
  • Ask for deletion of records held longer than necessary.

How to raise a concern

If you have a concern about how we've handled your information:

  1. Contact our privacy officer first. Loom & Layer Privacy Officer, [email protected]. Tell us what happened and what you'd like resolved. We will respond within 14 days.
  2. Escalate to the BC Office of the Information and Privacy Commissioner (OIPC) if you are not satisfied with our response. The OIPC is the regulator for BC PIPA and accepts complaints from individuals. Their published guidance is the authoritative reference for the rights described above.

Changes to this policy

If we change how we handle personal information, we will update this page and revise the effective date at the top. Material changes — new third parties, new categories of data, or new purposes — will also be flagged in any active correspondence with affected individuals.
